Organize your tasks for free, with no expiry date
The Workspacefy free plan is not a 14-day trial with a countdown. It is the product, with a clear workspace and storage limit, and no credit card at the door.
"Free" has become a meaningless word in task software. Sometimes it means a 14-day trial, sometimes five tasks a month, sometimes you only find the limit after importing your whole team's work.
Here the definition is boringly direct: the free plan is permanent and includes the work apps, not a stripped-down version of them. What it does not include is listed on this page before you create an account, not after.
Permanent, not a trial
There is no expiry date and no automatic downgrade. If the free plan solves your case, it still solves it next year.
No credit card
The account is created with an email address. No card "just to verify" and no silent charge when the period ends, because there is no period.
Full Kanban, not a demo
WIP limits per column, swimlanes, checklists and a timer are part of the free plan. Real flow control is exactly what usually sits behind the paywall elsewhere.
Your data leaves whenever you want
Any collection exports to XLSX or CSV, respecting the filters and sorting on screen. A free plan should not be an exit trap.
What you can organize without paying anything
The free plan ships the set of apps most small teams actually use day to day. The list below is not "limited features": these are the same apps as the paid plans, inside one workspace.
- Tasks with Timer, Kanban with WIP limits, swimlanes, checklists and time tracking.
- Calendar and Timeline, due dates, recurring events, interactive Gantt and dependencies between tasks.
- Multi-view, the same task collection as a table, kanban, calendar or gallery.
- Notes and Wiki, documentation with version history, comments and a recoverable trash.
- Integrated Email, Gmail and Outlook inside the workspace, with attachments and HTML sending.
- Dashboards, charts and KPIs over your own data, with period filters.
- Public Forms, Whiteboard and the App Store, at no extra cost.
Where the free plan ends
Two things separate free from paid, and neither of them is task organization itself. The first is scale: one workspace, with no file storage quota. The second is real time, video meetings, Virtual Office and live chat start on the Pro plan.
In practice: if your team organizes tasks and talks somewhere else, free is enough. If you want the meeting to happen inside the same workspace as the tasks, that is when moving up makes sense.
Why billing is per active seat
When there is billing, it is per active seat, whoever did not use the product in the cycle is not on the invoice. That model avoids the classic paid-task-tool problem: the whole team added "just in case" and the bill growing because of people who opened the product twice.
It also makes leaving the free plan reversible in practice, not just in theory: you move up when usage justifies it, and the bill follows real usage.
What changes from one plan to the next
The task-organizing apps are the same on every plan. What changes is scale and real time.
| Free | Pro | Business | |
|---|---|---|---|
| Workspaces | 1 | 3 | 10 |
| Seats included per workspace | 1 | 5 | 15 |
| File storage (account total) | 0 GB | 50 GB | 200 GB |
| Personal storage | 0 GB | 10 GB | 20 GB |
| Tasks, Kanban, timer and checklists | Yes | Yes | Yes |
| Calendar, Timeline and Gantt | Yes | Yes | Yes |
| Dashboards and multi-view | Yes | Yes | Yes |
| Video meetings and Virtual Office | No | Yes | Yes |
| Public API with CRUD and OAuth2 | No | No | Yes |
You pay for your plan, and every workspace already comes with the seats above; only what goes beyond becomes an extra seat, priced below a plan. Current prices live on the pricing page, which is the official source — this table only summarizes the difference in scope.
Frequently asked questions
- Is the task manager really free forever?
- Yes. The free plan has no expiry date and does not turn into an automatic charge after a period. It has a scale limit, 1 workspace and no file storage quota, and that limit is what defines when moving up makes sense, not a countdown.
- Do I need a credit card to start?
- No. The account is created with an email address and setup takes about five minutes. A card only comes into play if you decide to subscribe to a paid plan.
- How many people can organize tasks on the free plan?
- The free plan gives you 1 workspace, and the number of included seats is shown on the pricing page, which reads plans straight from our API. Since billing is per active seat, whoever does not use the product in the cycle is not on the invoice once you move to a paid plan.
- What happens to my tasks if I hit the limit?
- Nothing is deleted. The free plan's limit is about scale, one workspace and no file storage quota, so what stops is creating a second workspace or attaching files, not organizing the tasks already there.
- Can I take my data with me if I stop using it?
- Yes. Any collection exports to XLSX or CSV respecting the filters and sorting on screen, and from the Business plan up everything also comes out through the public API with full CRUD. The way out matters as much as the way in.
- What is the difference between this plan and the paid one when it comes to organizing tasks?
- None, for the organizing itself. Kanban with WIP limits, swimlanes, checklists, timer, calendar and timeline with Gantt are all on the free plan. What starts at Pro is dashboards, video meetings, Virtual Office and real-time features.
