Project management without scattering the work across five tools

Kanban, Gantt scheduling, dependencies, dashboards and the project inbox in one place. Workspacefy brings together what normally takes four separate subscriptions.

Project management is the work of turning a goal into deliverables with a deadline, an owner and an order of execution, and keeping that visible to everyone while reality shifts. The hard part is rarely the method. It is that the plan lives in one tool, execution in another, the conversation in a third, and the decision that changed everything in an email nobody can find.

Workspacefy fixes that at the root: the same workspace holds the schedule, the execution board, the documentation, the metrics and the project's messages. When someone asks why a deadline moved, the answer sits one click from the deadline itself.

  • Planning and execution on one base

The card someone drags on the Kanban board is the same task that shows up on the Gantt chart. There is no sync to break.

  • Real dependencies

Link tasks on the timeline and watch a delay ripple down the chain before it becomes a problem.

  • Decisions kept in context

Built-in email, notes with version history, and chat with mentions, inside the project, not around it.

  • Metrics without exporting a spreadsheet

Dashboards with period filters read the workspace's own data, in real time.

Pick the right view for each stage of the project

A project cannot be judged from a single angle. The person executing wants to know what to do now; the coordinator wants to know whether the date still holds; the sponsor wants the number. In Workspacefy the same task collection switches views in one click, with no duplicated data and no two parallel plans to reconcile.

  • Kanban with WIP limits per column and swimlanes per team, so the bottleneck shows up before the delivery slips.
  • Timeline and interactive Gantt: drag a bar to change the date and watch dependencies react.
  • Calendar with recurring events, so team ceremonies take up real room in the schedule.
  • Table view, with reference columns across collections (lookup and rollup) for consolidated budget, effort and status.
  • Gallery, for when the deliverable is visual and the thumbnail says more than the title.
Table, board, calendar and gallery over the same collection. The view changes with the question; the data underneath is still the same items.

The schedule answers back when reality changes

A Gantt chart's value is not in drawing the ideal plan on Monday. It is in answering fast on Wednesday, when a client approval slipped and three deliverables depended on it. With dependencies set on the timeline, you drag the task that moved and immediately see what it pushes, and what still holds.

The task timer closes the loop: instead of estimating from memory on the next project, you plan with the time the team actually spent on the last one.

A timeline with dependencies and drag to replan. Moving one delivery shows immediately what it pushes forward, instead of revealing it the following week.

Project context lives with the project

The information that kills a deadline usually sits outside the management tool. It is the supplier email with a new constraint, the meeting notes nobody filed, the agreement that stayed in a voice message.

In Workspacefy, built-in email brings Gmail and Outlook into the workspace, with attachments, Cc/Bcc and HTML sending. Notes and wiki hold scope and decisions with comments and version history, you can restore what was agreed, not just remember it. Real-time chat and video meetings with screen sharing happen in the same environment as the work.

The project document with comments and version history, in the same collection as the tasks. The brief stops being an attachment lost in a thread.

When a project becomes a process, it becomes an app

Teams that run projects repeatedly always reach the same point: they need a field the tool does not have. Workspacefy's App Store ships ready-made Project Management, CRM and Kanban apps, and every app created in the workspace automatically exposes a REST endpoint with full CRUD.

That means connecting the schedule to your ERP, to Zapier or to an internal script does not wait on a connector someone has to ship: the dynamic API already exists, with OAuth2 client_credentials, rate limiting and full OpenAPI documentation. The public API is available from the Business plan up.

FAQ

Does Workspacefy suit agile or traditional project management?
Both, because the same task collection accepts the view each approach needs. Agile teams tend to live on the Kanban board, with WIP limits per column and swimlanes per squad. Teams with fixed scope and dates use the timeline with Gantt and dependencies. Since these are not separate plans, a hybrid project, common in agencies and consultancies, never forces anyone to maintain two versions of the truth.
Can I migrate projects from another tool?
Yes. Every app created in the workspace exposes a REST endpoint with full CRUD, authenticated with OAuth2, so bulk import runs through the public API (available from the Business plan up) without depending on a specific importer. For smaller volumes, collections can be edited directly in table view.
Does Workspacefy have Gantt charts?
It does, and it is interactive: you drag a bar to change dates and task dependencies respond immediately. Gantt and timeline are included in every plan, the free one included, they are not a paid add-on module.
How many people on the team need a paid seat?
Billing is per active seat, and the free plan is permanent. Dashboards, video meetings and real-time features start at the Pro plan, so teams that only need tasks, scheduling, notes and email can operate at no cost. Current prices for each plan are on the pricing page.
How is project data secured?
Each workspace runs in an isolated environment, communication is encrypted with TLS, and sensitive data is stored encrypted. The platform operates under Brazil's LGPD, with the retention and deletion policy described in the Privacy Policy. Real-time service state is on the status page.
